Qualifications:

  • Two-year technical or college level degree or equivalent experience
  • PC Word Processing at 60 wpm
  • Excellent organizational skills and ability to work independently
  • Above-average working knowledge of Microsoft Office applications (Word, Excel, PowerPoint, Publisher, Outlook), Internet, Visio, and Adobe Acrobat
  • Working knowledge of Teams and Zoom for online meetings
  • Ability to use a web content management system
  • Superior oral and written communication skills
  • Ability to learn and adhere to identity standards for written word and document formatting
  • Strong proofreading and editing skills (ensuring proper grammar and punctuation, correct word usage, spelling, etc.)
  • Basic understanding of quality management and/or ISO 9001 requirements
  • Ability to maintain confidentiality is essential
  • Ability to effectively prioritize a busy workload
  • Detail oriented
  • Effective problem-solving skills
  • Appearance consistent with professional image and work environment
  • Ability to use machines, tools, equipment, phones, and work aids as necessary to perform job duties
  • Ability to work full-time in an office setting

Job Responsibilities:

  • Assists with publishing documents using OMC's web-based document management system.
  • Assists with document processing and enters data into document management database.
  • Provides back-up support to the document coordinator, including assisting with OMC's automated document process.
  • Maintains sections of the internal website related to document requirements.
  • Communicates through email and phone with document authors and approvers regarding document revisions.
  • Maintains broad general knowledge of OMC's operational activities.
  • Verifies that images used in documents abide by copyright requirements.
  • Follows OMC branding, style guidelines, and formatting requirements.
  • Maintains internal signage and postings including, but not limited to, clinician directory, wayfinding, door vinyl, and temporary informational signage.
  • Assists with ordering business cards and note cards.
  • Provides back-up assistance, as needed, for OMC's internal website.
  • Provides administrative support to supervisors in the Marketing and Communications department.
  • Provides back-up support to administrative support staff for the OMC Regional Foundation.
  • Provides support for events and assist at events as needed.
  • Prepares meeting minutes, memos, correspondence, and reports.
  • Schedules appointments, department meetings, and other activities.
  • Operates office equipment, paper cutting machine, and other office equipment to help print Marketing and Communications materials.
  • Maintains good interpersonal relations with fellow employees, clinicians, nurses, visitors, vendors, and others
  • Assumes responsibility for professional growth and development.
  • Follows OMC policy regarding time and attendance.
  • Consistently demonstrates exceptional customer service skills and ability to work with a team.
  • Professional appearance consistent with professional image and OMC dress code.
  • Willingness to travel to branch clinics and other locations to update or change out signage.
  • Performs other duties as assigned.
